Whistleblower Scheme

Welcome to our whistleblower scheme page. Our whistleblower scheme provides a secure and confidential avenue for reporting any unethical behavior or policy violations, and we are committed to maintaining integrity, transparency, and accountability.

Who can be a whistleblower?

The whistleblower scheme may be used by the following persons:

a) Current employees, including board members and students/temporary hires,
b) Former employees (in the case of the information reported being obtained during their employment),
c) Job applicants (in the case of the information reported being obtained during the hiring practice),
d) Contractors, subcontractors, business partners, and suppliers,
e) Tenants, and
f) Investors.

What can be reported?

If a whistleblower has any suspicions or concerns about violations of laws or regulations, breaches of our policies, or any other serious issues affecting Home.Earth, we encourage you to report them promptly.

Examples of violations that can be reported include, but are not limited to, the following:

a) Theft, embezzlement, or fraud,
b) Bribery or corruption,
c) Anti-trust/competition law,
d) Discrimination and harassment,
e) Major non-compliance with quality standards and procedures,
f) Conflicts of interest,
g) Improper marketing activities/greenwashing,
h) Violations of laws and regulations, including Home.Earth policies, codes of conduct or procedures,
i) Major health, safety, or environmental issues,
j) Human rights violations, including unfair or forced labor, and
k) Breach of data privacy or IT security.

How do I report?

You have the option to report with full disclosure of your identity, or you can choose to report anonymously. In both cases, we ensure that all reports are handled with confidentiality and objectivity.

Reporting with full disclosure of identity

Send an email to whistleblowing.home.earth@outlook.dk with “REPORT” as the subject line. Your email should contain a comprehensive description of:

1) If you are reporting a suspicion, an incident, or ongoing misconduct.
2) What type of issue does your report concern, e.g., one of the examples listed above.
3) The duration and date(s) of the suspicion, the incident, or ongoing misconduct.
4) Describe the suspicion, incident, or ongoing misconduct.
5) Other relevant details to include are the names of the individuals involved, their level of participation, supporting documentation for the suspicion, incident, or ongoing misconduct, and the source of the documentation.

Anonymously reporting

To report anonymously, you should use an email that does not directly or indirectly identify you, or you can create a new one. If you need to create a new email in order to report, anonymously remember not to use your actual name, birthday, or gender.

Use   your   anonymous   email   to   send   your   report   to whistleblowing.home.earth@outlook.dk with “REPORT” as the subject line. Please include as much detail as possible without compromising your anonymity:

1) If you are reporting about a suspicion, an incident, or ongoing misconduct.
2) What type of issue does your report concern, e.g. one of the examples listed above.
3) The duration and date(s) of the suspicion, the incident, or ongoing misconduct.
4) Factual description of the suspicion, the incident, or the ongoing misconduct.
5) Other relevant details to include are the names of the individuals involved, their level of participation, supporting documentation for the suspicion, incident, or ongoing misconduct, and the source of the documentation. Please refrain from providing personally identifiable information, such as documents, images, or other information that contains your personal data.

Post-reporting procedure and timeframe

Reports submitted through the channel will be received by the board members of our Whistleblower Committee. They will initiate the handling of the report by passing it on to an appropriate co-member within the organization. All members of our Whistleblower Committee will remain objective and professional in processing all reports, ensuring the confidentiality of the whistleblower.

What happens after my report?

After you have sent your report,  our whistleblower committee will receive it, which consists of Maya Færch and Annabel Short, both members of the Home.Earth K/S Board. They will initiate the handling of the report and involve an appropriate member within the organization. All members of our whistleblower committee will remain objective and professional in processing all reports, ensuring the confidentiality of the whistleblower.

The whistleblower committee will handle the whistleblower-report as follows:
- Acknowledge receipt of the whistleblower report within 7 days.
- Diligently follow up on the reported breach or violation.
- Provide feedback to the whistleblower, provided s/he is identified, within 3 months following the 7 days where the receipt was acknowledged.
- Report the outcome of the investigation to the board (while ensuring confidentiality) and follow-up on corrective actions where applicable.
- Report the outcome of the investigation and relevant follow-up action to the whistleblower.
- Create a report, which will be kept on a digital server for 5 years.
- Report the incident to the relevant authorities if necessary.

External reporting scheme

If you feel more comfortable not using our internal reporting system, you can use the national whistleblower scheme administered by The Danish Data Protection Agency (Datatilsynet). This is the Danish general external whistleblower scheme where you can report violations of EU law that fall within the scope of Directive 2019/1937, and other serious legal violations or other serious matters.
